Education: Bachelor’s Degree in Business Administration or similar discipline. Experience: Essential Minimum 2 years’ experience in similar or related position, where problem solving was a key feature. Excellent oral and written communication skills in English and Arabic. Experience at an advanced level in using Microsoft Outlook, Word and Excel. Experience of working without supervision as well as within a team. Proficiency in written and spoken English and Arabic. Desirable Experience of working within an educational environment. Specific Account-abilities: Receive and screen incoming telephone calls promptly and welcome office visitors, providing a friendly and professional greeting, taking messages as appropriate, and eliciting any necessary information to allow timely and accurate responses. Also maintaining a log of enquiries received and providing responses if appropriate. Responsible for heavy calendar management, requiring interaction with both internal and external executives, department heads, faculty and staff, and coordinating a variety of complex executive meetings and administrative support services. Remain aware and update the DVC’s schedules. Develop and maintain a well-organized filing system that permits easy reference and rapid retrieval of information. Draft accurate, confidential and non-confidential correspondence/documentation on behalf of the Head; ensuring that the ECAE’s house-style is applied. Support the Head with special projects e.g. conducting research activities in order to inform the project, preparing materials for committee presentations, summarizing reports etc. Provide secretarial support to assigned ECAE committees Arrange and document minutes of meetings in line with the ECAE house-style, ensuring that minutes are duly approved prior to distribution to Committee members or meeting attendees. Assist with the organizing staff meetings and/or special events including annual end of year celebrations, staff meetings, etc. Arranging catering, locations, distribution of information with respect to the event and any gifts or handouts for the event. Arrange travel and hotel reservations for the Head and others (as required) and prepare itinerary for submission to the Vice Chancellor’s Office. Generic Account-abilities Cover for the other Executive Assistants during staff vacation and sick leave. Further assist with workloads from the DVC-Academic office.
